Before Mobility Process

Nomination and Application to the Host University

Students who are on the list published on our website will be nominated as candidates to the partner university in which they are placed, based on the selections made on the TurnaPortal website. Please note that the nomination process may take some time. Students applying to partner institutions with the earliest nomination deadlines will be prioritized. Make sure to submit all required documents and forms on time to prevent any delays.

Once the partner university approves the candidacy, the student will receive detailed information from them regarding the application process, required documents, and other tasks managed by the Erasmus office of the partner university. This information is typically provided within 2–3 weeks after nomination, though it may take longer depending on the response time of the partner university. If no notification is received within one month of the nomination, you should contact the Erasmus office of the partner university via email to request information. Before Mobility Most commonly requested documents during the application process by our partner universities include: Passport Copy Official (signed & sealed) Transcript of Records Language Certificate OLA (Online Learning Agreement)

Additional documents may be requested depending on the procedures of the partner university. Please also note that the issue date of the submitted documents should not be older than one month. You should also check the partner university’s website for the required documents.

After the application process at the partner university is completed, your application is generally concluded within 4-6 weeks and the “Acceptance Letter ” or “Registration Letter ” is sent to you.

NOTE: Being nominated for a Erasmus+ Exchange program does not guarantee acceptance at the host university. Partner universities reserve the right to accept or reject applications, and your participation will only be confirmed once the host university issues official acceptance. In this situation,Haliç University and the Haliç University International Relations Coordinatorship Office cannot be held responsible.

Before departure | Required Documents

While you are dealing with the processes in the partner university, you must also carry out the processes in your own university at the same time. These responsibilities are listed below, and additional documents may be requested depending on student profile and erasmus destination.

  • OLA (Online Learning Agreement) or LA Before Mobility
  • Letter of Acceptance
  • Vakıfbank Euro Account IBAN under student’s name
  • Visa Photocopy
  • Health Insurance (must be valid for all mobility dates)

Please be aware that a majority of this paperwork will require a signature and stamp from a relevant departmental or institutional coordinator either at Haliç or at your host university. Therefore, it is important that you allow yourself the appropriate time to complete the paperwork.

Learning Agreement & OLA (Online Learning Agreement) for studies

Learning Agreement

One of the most important documents you will encounter during your Erasmus mobility is the Learning Agreement (LA). This document outlines the courses you will take abroad and shows which courses these will be recognized as at your home university. The Learning Agreement is the official document that specifies which courses an Erasmus student will take abroad and how these courses will be recognized after returning to Türkiye.

  • Student information
  • Sending and receiving university information
  • Selected courses and their ECTS credits
  • The equivalent courses at Haliç University
  • Signatures of the student, departmental coordinator, and institutional Erasmus coordinator
  • It formalizes your course selections at the host university.
  • It is the basis for the academic recognition of your courses when you return. - It is the core document of your Erasmus mobility.

OLA (Online Learning Agreement)

The OLA is the digital version of the Learning Agreement. Under the Erasmus+ program, many universities in Europe now process Learning Agreements through the OLA system.

  1. Visit https://learning-agreement.eu
  2. Enter your course and personal information online as a student.
  3. The sending (Haliç) and receiving (host) institutions approve it digitally.
  • No paperwork, fast and easy processing
  • Your documents are securely stored,
  • All approvals are tracked in the system

REMEMBER: Your Learning Agreement must be completed and approved by all parties before your mobility begins.

NOTE 1: Some universities may not use or accept OLA. In such cases, you must have your LA signed via email.

NOTE 2: Please take note of the following points:

  • Each student is required to prepare only one document: either a Learning Agreement (LA) or an Online Learning Agreement (OLA).
  • If your host institution does not use the OLA system, you must prepare the Learning Agreement (LA) and complete the required signatures via email correspondence.
  • Students who do not have an acceptance letter and a completed Learning Agreement cannot receive supporting documents for their visa applications (such as letters confirming participation or grant status) from our office.

ECTS Credit Load in Erasmus

Under the Erasmus+ program, students going abroad are required to take a certain number of ECTS credits at the host institution. This is crucial for both a successful academic exchange and course recognition upon return. The total ECTS of the courses taken from the host university must be 30 for one semester. This is the standard full-time credit load. However, due to individual circumstances, a slightly higher or lower total (e.g., 28 or 32 ECTS) is acceptable with justification. Significant deviations like 20 or 40 ECTS are not accepted.

  • To receive your full Erasmus grant, you must pass at least 2/3 of the total ECTS credits.
  • For recognition, the courses listed in your Learning Agreement must be taken and passed.
  • The selected courses should match your academic program at Haliç University and must be approved by your departmental coordinator.

During your Erasmus exchange, the courses offered at the host university may not exactly match the ones at Haliç University. This is normal and common.

  • Matching can be done based on similar content.
  • Two or more smaller courses can be combined to match a higher ECTS course.
  • Elective or non-departmental courses can be used for recognition.
